Things to consider when having your conference filmed
If you are planning a conference, seminar or other event you may have considered having the event filmed. Having the event filmed can create a range of marketing materials and video assets that can be used to engage attendees before, during and after the event, but also to use as marketing materials for any follow on events or activities.
When planning a conference or seminar, photography and video can play a pivotal role in the event itself and the marketing and ongoing engagement following the event. In this blog I explore some of the considerations when planning to have your event filmed or even live streamed, or both.
Often video is overlooked and can be one of the aspects that an event organiser books nearer the time. In an ideal world as a video company we would rather that important events such as conferences and seminars be locked in to our diaries many months or longer ahead so we can ask key questions about the event and help to shape the event plan to get the best results from the videos we are creating.
Things such as audio, lighting and the logistics of the event itself need to be considered, and involving us earlier in the process will ensure that we can give you our advice and share our experience from a perspective of video to help you to get the best results. Wherever possible, try and involve us as early as you can so we can be instrumental in helping to enhance the whole experience.
When planning to have video at your event it is important to think about what you will use the video for. Do you need promotional content for social media to help market a future event or attract sponsors or delegates to attend a future event?. Perhaps you want to give value to your delegates beyond the event itself by having the talks filmed and edited for sharing afterwards in full as they happened on the day. Whatever your ideas we can help and advise on the best way to approach it and any factors to consider which will help us to get the best results on the day.
Audio is an important consideration and one which can sometimes be overlooked, particularly for seminars or sessions with smaller audiences. So often we have attended an event only to find the venue has no PA system and delegates cannot actually clearly hear what is being said. For us this is no issue as we can place microphones in strategic locations, mic up presenters and provide audio capture for the video. But this doesn’t help the delegates in the audience. We normally recommend the services of a sound technician to make sure the audio is spot on, and we often build this into our conference and seminar video quotations for clients if a separate audio professional is not being provided or has not been factored in.
